Searching Cases by Name
The Colorado Judicial Branch Docket Search takes a person’s name or a business name. An attorney name or bar number works too. Set the location first. For a Gilpin County case search, choose Gilpin County, Gilpin Combined Court, or the First Judicial District. Then pick County, District, or Both, depending on what you already know about the case.
- Select Gilpin County or Gilpin Combined Court and choose the likely court type.
- Set a useful range such as today, one week, one month, three months, six months, or a specific date.
- Choose individual or business mode, then enter the full name as it appears on the court notice.
- Select Find Dockets and compare the case number, hearing type, appearance mode, and courtroom.
- Try another spelling, wider range, or Both court types before calling 303-582-5522.
The official search interface is visible at the state Docket Search source.
The form’s broad filters show why a name alone cannot carry a date-based Gilpin search.
Gilpin Case Search Filter Choices
County, courthouse, and court type are three separate filters. Pick Gilpin County for the county itself. Pick Gilpin Combined Court for the shared courthouse. Court type then selects County Court, District Court, or Both. None of these controls merges the jurisdictions. A misdemeanor M case and a District Court CR felony can sit in the same building, share a clerk, and still be two distinct court files.
| Field | Type | Format or choices |
|---|---|---|
| Judicial District | Dropdown | First through Twenty-Third |
| County | Dropdown | Choose Gilpin County |
| Courthouse | Dropdown | Choose Gilpin Combined Court |
| Court Type | Dropdown | Both, County, or District |
| Date Range | Dropdown | Six months through today, or a specific date |
| Party | Conditional text | Individual first and last name, or business name |
| Attorney | Conditional text | Name or one-to-six-digit bar number |
| Case Number | Split fields | Four-digit year, class, and one-to-six-digit sequence |
You need at least one filter beyond date. The interface adds division, Clear Results, Export Results, Printable Version, and pagination. Treat those as calendar tools. They will not take you to document images.
Gilpin Case Search Court Boundaries
A Gilpin County name may appear in four courts. County Court and District Court are the state options. Central City Municipal Court or Black Hawk Municipal Court handle city matters. The free state screen shows published settings in the two state courts only. A city citation may be missing, because each municipal clerk keeps its own docket. Read the issuing court on your notice first. Call 303-582-5251 for Central City confirmation, or 303-582-1727 for Black Hawk Municipal Court. Search the state calendar only when the matter was filed at the Combined Court. That includes the charge types Black Hawk expressly sends there.
Searching by Case Number
A Colorado case number splits into year, case class, and numeric sequence. The search form shows all three. The format example 2026CV30001 breaks into 2026, CV, and 30001. It shows the fields only. It is not a real Gilpin County case.
Confirmed classes: C for County civil, CR for District criminal, CV for District civil, CW for water, DR for domestic relations, JD and JV for juvenile categories, M for misdemeanor, PR for probate, and S for small claims. T stands for traffic. The interface lists an R as well. But the official local material does not define it. Do not guess at that class.
No result? Confirm the court level and date range you selected. A felony can open in County Court and later produce a District Court CR file. A municipal citation may remain with Central City or Black Hawk instead. Exact number parts sharpen the docket search. But they cannot pull a case out of the wrong system.
Gilpin Case Search Uses One Clerk
The Clerk of the Gilpin Combined Court keeps both state County Court and District Court files. The office sits at 2960 Dory Hill Road, Suite 200, Black Hawk, Colorado 80422. One office means no split between elected county and district clerks. The line between the two courts still stands, though.
When a search fails, phone 303-582-5522 or email GilpinClerksOffice@judicial.state.co.us. The counter is open Monday through Friday, 9:00 a.m. to 4:00 p.m. Mail goes to the same office. For an ROA or a named document, there is another route. The statewide Record/Document Request Form is it. The official site does not promise a public lobby terminal. Call before traveling if that access matters to you.
Choose the court first: County Court handles limited matters, while District Court handles felonies and general-jurisdiction cases, even though one clerk holds both files.
Gilpin Case Search Older Files
An older case with no hearing on the calendar can return nothing. The court still holds the file. A missing row may simply mean the wrong class. It could be the wrong court level, city, spelling, or date range. It does not prove a case was sealed or destroyed.
Give the clerk the year, party names, case type, and any number you know. The Record/Document Request Form works even with an unknown county choice, but selecting Gilpin and adding precise details speeds the routing. Off-site material may carry its actual retrieval cost.
What a Case Search Returns
A Gilpin County case search returns scheduled events, nothing more. It shows enough detail to identify a setting. It does not open the full ROA. It does not display pleadings. That gap protects you from reading a hearing label as a final outcome.
| Date | The published calendar date. |
|---|---|
| Time | The listed start time. |
| Duration | The period reserved for the event. |
| Name Label | The displayed party or caption label. |
| Case Number | The year, class, and sequence shown together. |
| Hearing Type | The scheduled event, not proof of what happened. |
| Location | The court location tied to the setting. |
| Appearance Type | Virtual, in person, or no appearance required. |
| Courtroom | The assigned room or calendar location. |
Judge, filing date, party roles, attorneys, charge, bond, status, disposition, judgment amount, costs, ROA entries, related cases, and document images all stay off the screen. Ask the clerk for those court records when access is allowed.
CCE Is Not Gilpin Case Search
Colorado Courts E-Filing for non-attorneys handles filing and own-case access. It is not a portal for searching other people's cases. An eligible self-represented person registers and opts into an existing domestic-relations or eviction case. Court acceptance may take up to two business days. Once approved, that party can view the eligible case's documents and coming dates, and nothing more.
CCE costs money, too. It charges the statutory filing fee plus $12 per accepted filing. It adds $12 whenever electronic service is used. It still grants no public search of unrelated cases. A certification prompt added in 2026 was removed after legislation. But that change never turned CCE into a public docket database.
A calendar result is not always enough. The next route is Colorado's Record/Document Request Form. That official form lets a person ask the court directly for a record or document.
The form asks for case and party detail for a simple reason. The clerk, not CCE's public-facing pages, supplies the official ROA or filed copy.
Gilpin Case Search Federal Boundary
Federal matters sit outside the Colorado Judicial Branch Docket Search entirely. A Gilpin County federal civil or criminal case belongs to the U.S. District Court for the District of Colorado. Bankruptcy is different. Any bankruptcy file belongs to the U.S. Bankruptcy Court for the District of Colorado. State court records will never carry these files.
For federal dockets, PACER and its Case Locator are the separate search path. Do not read a blank state calendar as proof that no federal case exists. Federal copies come from the federal clerk, not the Gilpin Combined Court. Certification comes from the federal clerk as well.
Statewide vs County Case Search
Colorado runs one official statewide hearing search. Gilpin County uses a county-filtered view of that same system. No separate free official Gilpin portal offers full case histories. Paid commercial vendors may sell real-time Registers of Action. The Judicial Branch treats those products as nonofficial and potentially incomplete. For official filed copies, go to the court itself.
| Channel | Coverage | Best use | Limit |
|---|---|---|---|
| State Docket Search | Colorado scheduled events | Searching across counties or locations | No ROA or documents |
| Gilpin-filtered search | Gilpin County and District settings | A known Gilpin state case | Same calendar-only depth |
| Gilpin clerk or request form | Gilpin state court files | ROAs, pleadings, orders, certified copies | Fees and access review may apply |
| Municipal clerk | That city’s court files | Central City or Black Hawk matters | Not held by the state clerk |
The Judicial Branch access guide explains the official and nonofficial split.
That separation is why a paid ROA result is never the court's certified record.
Missing Gilpin Case Search Results
A missing result does not prove a case was sealed, erased, or closed. Start by widening the date range. Then check spelling, court type, case class, and case-number segments. Try Both court types if the level is uncertain. Next, identify the issuer. Central City and Black Hawk cases can stay in municipal court. Federal matters live in PACER.
Older Gilpin files may sit off-site and carry the actual retrieval cost. If the goal is a disposition, filing history, or old order, skip more calendar filters. Submit the official request. The form is flexible. It accepts a case number, case type, filed year, county, date of birth if known, party information, and a description of the desired record.
For anything federal, PACER is a separate system. It serves the U.S. District Court and the bankruptcy courts. It is not a deeper layer of the Gilpin state search. Registration is free, though metered use and federal access rules apply.
Access and Restricted Cases
A public court calendar entry stays lean. You may see a name, case number, date, time, and courtroom. The entry also notes whether the appearance is in person or remote. Nothing more. Birth dates, addresses, Social Security numbers, and account numbers are left out. Charges, balances, and filed documents are left out too. Suppressed, juvenile, probate, sealed, or protected material changes things. The Gilpin County calendar may drop such a case or limit it. That can hold even if some nonconfidential event still appears.
Need something restricted? Bring government photo ID, proof you are a party or counsel, or a court order. The CJD 05-01 access directive sets the rules for court-record access. P.A.I.R.R. 2 is a different tool altogether. It covers Judicial Branch administrative records, not a workaround for a particular case file. The directive page itself spells out the current access standard.
The directive supports case-by-case access limits, not any claim that every file is open online.
Gilpin Search to Certified Record
Access runs in four layers. The layers are the free calendar result, the ROA, the filed document, and the certified or exemplified copy. A Gilpin County case search identifies the case and the next event. The ROA then gives a brief chronology that may include charges, sentences, and minute orders. Pleadings and judgments sit apart as separate filed documents. Certification authenticates a requested document for whatever use demands it.
Name the exact product when requesting. A "Transcript of Judgment" is a $25 clerk record, not a word-for-word hearing transcript; a hearing transcript follows the JDF 4 and local reporter channel. Plain copies cost $0.25 per page, and a $15 cap applies for parties or their attorneys. Nonparties get no cap. Certification or exemplification runs $20 per document. A name search is $5. Research or redaction is $30 per hour in fifteen-minute increments after the first hour. The Chief Justice Directives index lists the CJD 06-01 fee authority behind these charges.
That fee authority is one more reason a free hearing search and an authenticated court record are different services.
